Receipt of Enquiry from Customer

Check for Part#, Description,Quantity, etc.

Verify information if required, Prepare RFQ for sending to our suppliers

Check Local/National/International Source based on your requirement

Send out enquiries to be able to receive few quotes. International Enquiries should go out same day by evening

Review Quotes Received, How many ? Tough items to have multiple quotes

Are you familiar with the company’s pricing strategy ? Has your pricing taken into account any exceptions that might occur ?

Review with Supervisor Work out costings

On receipt of quote Check pricing, currency, delivery time, weight, dimensions, product offered vs asked, etc.

Send quote to customer – Higher value quotes over 2 lakhs need to be preapproved by your Supervisor

Have a Follow-up Specialist follow-up on orders with Customer

End of day record in tracking sheet all quotes sent

On receipt of PO, arrange to place PO with supplier. If you have time, renegotiate for discount

Ensure materials is shipped out and receipt and keep the customer informed

Close the transaction by invoicing the materials on receipt of the Goods receipt note
